How do I set up a new payroll with HMRC? We will contact HMR&C on your behalf to set up a new PAYE scheme for you. You will receive two references: The first will be your reference with the inspector of taxes at your local tax office. The second will be your accounts office reference for use with the collector of taxes at Shipley or Cumbernauld. This action will generate a 'yellow' payslip booklet to enable you to make regular payments of tax and National Insurance.

How do I start using Paytec Online's payroll services? We will listen to the requirements that you have and advise you on the solution that best suits your business. We will then send you our terms of engagement by post for you to check. Once you are sure that the terms are fair and accurate and you decide to appoint us you simply sign and return a copy to us along with HMRC form FBI 2 available here in pdf format. The form may be reproduced under the terms of the Crown Copyright. The FBI 2 form will give us your authority to deal with your payroll matters directly with HMRC and enable us to submit your payroll year end via the Internet.

How much will it cost to run a payroll? That depends on a number of factors. The most important of these are payroll size and payroll frequency but other factors like high staff turnover or complicated payment systems can have an impact on costs. The smallest payroll that we can run is for up to four employees on a standard monthly basis and costs just £209 per annum. I have heard that there are online filing incentives available for small business - do I qualify? All small businesses with fewer than 50 employees during the tax year can benefit from online filing incentives. The incentives for the following years are: 2006/07 £150; 2007/08 £100; and 2008/09 £75. All you need to do is complete form FBI 2 and we will do the rest by filing online.

Are there any set up costs? We will advise you of any, one off, set up costs associated with transferring your employees to Paytec Online. It is possible that a simple transfer can be utilised where your records can be converted electronically.

What do I do if my employee has no P45? An employee without a P45 will be taxed at basic rate tax (2006/07 22%) unless they sign a P46 notice of new employee form. The form is designed to establish the appropriate tax rate for an employee by asking the employee to tick the box that best describes their situation. It is vital that all of the fields are completed with particular reference to National Insurance Numbers and dates of birth. A copy of the form is available here in pdf format.
